MileEZ ("we," "our," or "us") operates the MileEZ mobile application and website (mileez.com). We are committed to protecting your privacy and handling your personal data transparently and responsibly. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

Age Restrictions

MileEZ is intended for users who are 13 years of age or older. We do not knowingly collect personal information from children under the age of 13. If you are under 13, please do not use the App or provide any personal information to us.

If we become aware that we have collected personal information from a child under 13 without verification of parental consent, we will take steps to remove that information from our servers immediately.

If you are a parent or guardian and believe your child under 13 has provided us with personal information, please contact us at hello@mileez.com so we can take appropriate action.

Information We Collect

We collect only the essential information needed to provide you with the best mileage tracking experience:

• Email Address: Required for account creation, authentication, password recovery, and optional service communications.

• Password: Required for account security. Securely hashed and stored; we never store passwords in plain text.

• Display Name: Optional, for personalizing your experience.

• Vehicle and Lease Information: Vehicle details (make, model, year), lease terms, mileage allowances, and payment schedules.

• Location Data: GPS coordinates collected only during active mileage tracking sessions.

• Usage Data: App features accessed, device type, operating system, app version, and crash logs.

Location Data and Mileage Tracking

Location tracking is at the heart of MileEZ's functionality, but we respect your privacy:

• Active Tracking Only: Location data is collected ONLY when you have actively enabled mileage tracking. We do NOT track your location in the background when the feature is disabled.

• User Control: You have complete control over when tracking is enabled or disabled.

• Purpose: Location data is used solely for calculating mileage, displaying routes, and helping you manage your lease mileage allowance.

• Google Places API: We use Google Places for address autocomplete, search functionality, and displaying location names for your trips.

• LocationIQ: We use LocationIQ for reverse geocoding (converting GPS coordinates to human-readable addresses) and address validation.

• Mapbox: We use Mapbox for map display, visualization, and route rendering for trip history.

• Storage: Trip location data is stored securely and associated with your account. You can view, export, or delete your trip history at any time.

Account Information

Your account consists of:

• Required Information: Email address and password (encrypted) for authentication.

• Optional Information: Display name, vehicle details, mileage allowances, lease information, and any custom notes you choose to add.

• Full Service Access: While you can create an account with just an email and password, to utilize MileEZ's full suite of features (tracking, projections, reminders), you'll need to create at least one vehicle profile.

How We Use Your Data

Every piece of data we collect serves a specific purpose:

• Service Delivery: Providing, operating, and maintaining the App, managing your account and authentication.

• Trip Recording: Location data is used to record your trips and calculate accurate mileage.

• Route Display: Your tracked routes are displayed on interactive maps within the app for your review.

• Mileage Projections: Historical trip data helps generate smart projections to help you stay within your mileage limits.

• Reminders: Your vehicle and lease information powers our reminder system to keep you informed about important dates and mileage thresholds.

• Communications: Sending password reset emails, account security notifications, technical support, and service updates.

• Improvement: Analyzing usage patterns to improve App features, fix bugs, and develop new functionality.

Data Security

We take security seriously:

• Encryption in Transit: All data transmitted between your device and our servers uses TLS/SSL encryption.

• Encryption at Rest: Sensitive data is encrypted when stored.

• Password Security: Passwords are hashed using industry-standard algorithms; we never store plain-text passwords.

• Access Controls: Strict access controls limit who can access your data.

• Secure Infrastructure: We use reputable cloud service providers with strong security certifications.

• Regular Updates: We continuously update our security measures to protect against new threats.

Important: While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

Data Sharing and Disclosure

We do not sell your personal information. We do not share your data with third parties for their marketing purposes.

We may share your information only in the following circumstances:

• Service Providers: With third-party service providers who perform services on our behalf (as described in Third-Party Services), subject to confidentiality agreements.

• Legal Requirements: When required by law, court order, or governmental authority; to protect our rights, privacy, safety, or property; to investigate or prevent fraud or illegal activities.

• Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as a business asset. We will notify you of any such change.

Third-Party Services

We use the following third-party services to operate and improve MileEZ:

• Firebase (Google): Authentication, Cloud Firestore database, Cloud Functions, Analytics, and Crashlytics. See their Privacy Policy.

• Postmark (ActiveCampaign): Transactional email delivery including account verification, password reset, and important notifications. See their Privacy Policy.

• Google Places API: Location search and autocomplete functionality. See their Privacy Policy.

• LocationIQ: Reverse geocoding and address validation. See their Privacy Policy.

• Mapbox: Map display and route visualization. See their Privacy Policy.

• Apple App Store & Google Play Store: App distribution and in-app purchase processing. See Apple's Privacy Policy. See Google's Privacy Policy.

In-App Purchases

MileEZ offers premium features through in-app purchases. These transactions are processed entirely by Apple (for iOS) or Google (for Android).

• Apple App Store (iOS): All purchases are processed through your Apple ID account. We do NOT receive or store your payment card details. We receive a transaction receipt to verify your purchase and unlock premium features. Apple manages subscriptions, refunds, and billing.

• Google Play Store (Android): All purchases are processed through your Google Play account. We do NOT receive or store your payment card details. We receive a purchase token to verify your transaction and unlock premium features. Google manages subscriptions, refunds, and billing.

• Subscription Management: You can manage or cancel subscriptions through your device's App Store or Play Store settings. We do not have direct access to modify or cancel your subscriptions. Refund requests must be directed to Apple or Google respectively.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

• Account Data: Retained while your account is active and for a reasonable period afterward to allow for account recovery.

• Trip/Mileage Data: Retained while your account is active; you can delete individual trips or all data at any time.

• Usage Analytics: Aggregated and anonymized data may be retained indefinitely for statistical purposes.

• Account Deletion: You can request deletion of your account and associated data at any time by contacting us at hello@mileez.com. Upon deletion request, we will remove your personal data within 30 days, except where retention is required by law.

Your Rights and Choices

You have the following rights regarding your personal information:

• Access and Portability: Access your personal information stored in the App and export your data in a portable format.

• Correction: Update or correct inaccurate personal information through the App settings.

• Deletion: Delete individual trips or data within the App, or request complete account and data deletion by contacting us.

• Opt-Out: Disable location tracking at any time, opt out of non-essential communications, and manage notification preferences in the App.

• Withdraw Consent: Withdraw consent for data processing where consent is the legal basis.

GDPR Compliance (European Users)

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have additional rights under the General Data Protection Regulation (GDPR):

• Legal Basis for Processing: We process your personal data based on contract performance, legitimate interests, consent, and legal obligation.

• Your GDPR Rights: Right to object to processing, restrict processing, data portability, and lodge a complaint with your local data protection authority.

• Data Controller: MileEZ acts as the data controller for personal information collected through the App.

• Cross-Border Transfers: When we transfer personal data outside the EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the European Commission.

• Categories Collected: Identifiers (email, account name, device IDs), personal information, geolocation data, internet/electronic activity, commercial information, and inferences.

• Your California Privacy Rights: Right to know, right to delete, right to correct, right to opt-out of sale/sharing (note: we do NOT sell or share your personal information for cross-context behavioral advertising), right to limit use of sensitive personal information, and right to non-discrimination.

• "Do Not Sell or Share My Personal Information": We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising purposes.

CalOPPA Compliance

In accordance with the California Online Privacy Protection Act (CalOPPA):

• Conspicuous Posting: This Privacy Policy is conspicuously posted on our website and accessible within the App.

• Information We Collect: We collect personally identifiable information including email addresses and location data (when enabled).

• Third-Party Tracking: We use third-party services that may track user behavior within our App for analytics and service improvement purposes. We do not honor "Do Not Track" browser signals, as there is no consistent industry standard for responding to such signals.

• Policy Changes: We will notify users of material changes by updating the "Last Updated" date and, for significant changes, through in-App notification or email.

• How Users Can Review and Change Information: Users can review and update their personal information through the App settings or by contacting us at hello@mileez.com.

International Data Transfers

MileEZ is operated from and our servers are located in various jurisdictions. If you access the App from outside these regions, your information may be transferred to, stored, and processed in countries that may have different data protection laws than your country of residence.

By using the App, you consent to the transfer of your information to these countries. We ensure appropriate safeguards are in place for international transfers as required by applicable law.
